A short look
AI in your office —
what works today
How I use AI in my own work — and what you can use in your tax office.
AI does not take away your responsibility. It takes away the first hour of every task.
From my day
How I use AI every day
- Morning viewEvery morning I get one clear overview: my calendar, open tasks, emails and clients. All in one place.
- PreparationBefore a meeting, the AI collects the whole history: what we talked about, what is still open.
- NotesMeetings are written down and summarized for me. I do not take notes by hand anymore.
- WritingEmails and texts as a first draft in seconds. I only correct — I do not start from zero.
- NumbersA live overview of my money — income and costs — instead of long Excel work.
The main ideaThe AI does the first step. I make the decision.
For you
Seven ways to use it in your office
Talking to clients
Explain hard topics in simple words. Write email drafts. Send friendly reminders for missing papers.
Letters to the tax office
Drafts for standard letters and deadline extensions. You check and sign.
Documents
Ask: "What is in these 40 pages?" — and get a short answer.
Research
Get laws and rules explained in simple words — as a start, not as the final answer.
Meetings
Automatic notes and a summary. The next steps are ready for you.
Office knowledge
Search your own knowledge: "How did we solve this last year?"
Training staff
The AI explains standard steps to new staff — patiently, again and again.
Important
Three safety rules
Protect client data
Never put client data into free tools. Use a business plan with a data contract (AVV), turn off training, and remove names when unsure. Your duty of secrecy (§ 203) and the GDPR still apply.
Check before you trust
AI sometimes invents things — most often numbers, dates and § references. Check every tax statement. The responsibility stays with you.
Start small
Begin with easy tasks: drafts, summaries, research. Not with a finished tax return. Trust grows with practice.
Your first step
Start here — ChatGPT Team
Your team already uses AI every day. So we start where it is easy: one shared ChatGPT Team account. On this business plan, your text is not used to train the AI.
- 1Pick one real task — not "just try something". For example: the next longer client email.
- 2Put the AI answer next to your own. Where does it help? Where not? That is how you get a feel — safely.
What is safe
Safe today — or not yet
Safe today
- General research and questions
- Make internal texts simpler
- Letter templates (add names by hand later)
- Summaries of public documents
- English practice, collecting ideas
Not yet
- Real client names
- Tax numbers and figures
- Client files and receipts
Later (with data contract)
- Anonymous cases: Client A, B, C
- The AI never sees the real name list
Simple rule: if no client data is in it, you are safe.
Ready to use
Try these three first
Explain [topic] in simple words, for someone with no tax knowledge. Five short sentences, friendly tone.
Write a neutral template letter to the tax office asking for a deadline extension. Use [placeholders] for name, date and reference. No real data.
Make this text shorter and clearer. Keep the meaning. [paste an internal text with no client data]
Each prompt is safe — there is no client data in it.
For your team
A poster for the office
One page for the wall: what is safe and what is not — at a glance, in colour. Open it, then print.
Not everything at once. One account, the safe tasks first — and I am right there with you.
